Cancellation Policy

• 24 or more hours' notice: no charge; the session is rescheduled at no cost.
• Less than 24 hours' notice, or no-show: full session fee applies.
• Tutor cancellation: if we cancel less than 24 hours in advance, you receive one free replacement session.
• Cancellation notice must be given by email or SMS.

Refund Policy

• Diagnostic session: 100% refund available within 48 hours if it isn't a fit for any reason.
• Packages: refundable on a pro-rata basis for sessions not yet delivered, minus a 10% administrative fee, if you cancel the engagement before the package is complete.
• Completed individual sessions: non-refundable.

AI-Use Policy

Our whole method is built around producing results in AI-free environments. To protect student outcomes, we ask that:

• Between sessions, students do not use AI tools to complete assigned homework or practice problems.
• Students may use AI to check work after solving independently, or to quiz themselves.
• The tutor may use AI for lesson planning, generating practice problems, and preparing summaries — but not to replace instruction during sessions.

If AI misuse begins undermining a student's progress, the tutor may reallocate remaining sessions toward remediation or, in rare cases, terminate the engagement with a pro-rated refund.

Payment

• Diagnostic sessions: paid in full at booking.
• Packages: paid in full at package purchase, or two equal installments if agreed in writing.
• Hourly sessions: paid within 3 business days.
• Payment via Stripe (credit/debit). Sessions may be paused after 7 days past due. A late fee applies after 14 days past due.

Confidentiality

All client and student information is confidential. Student work, test scores, grades, or personal details are not shared with third parties without written consent, except with the parent (for minors), the student themselves, or as required by law. Anonymized results may be used in marketing without identifying the student.

Children's Privacy (COPPA)

Mathory is a math coaching service directed at students in grades 6–12, which means some of our users are under 13. To protect children, we follow the Children's Online Privacy Protection Act (COPPA):

• Only parents or legal guardians create accounts and pay. Students never sign up on their own; a student accesses the course only after a parent has created the account, paid, and given consent.
• Direct notice and verifiable parental consent. At the payment page, the parent sees a direct notice explaining what information is collected from the child and provides consent by completing the credit-card transaction and checking a consent box. The payment IS the consent (a COPPA-approved verifiable parental consent method).
• Minimal data collection from children. From the student, we collect only what is required to deliver instruction: first name, date of birth (to verify age), and their answers to practice problems and lessons. We do not collect a child's full name, photo, phone number, precise location, or biometric information, and we do not collect any information for advertising, retargeting, or AI training.
• Parent rights. At any time, the parent may (a) review what personal information we have about their child, (b) delete the child's account and all associated data, or (c) revoke consent (which triggers deletion). Requests are honored within 30 days. Contact [email protected], or use the parent dashboard once available.
• School partnerships. Mathory is currently sold direct-to-parent. For school-district or classroom deployments where the school provides authorization on behalf of parents, contact [email protected].

Data Retention

• Active accounts: personal information for the parent and student is retained while the account is active.
• Inactive accounts: accounts with no login for 12 months are automatically deleted, including all student progress and parent contact information. A warning email is sent at least 14 days before deletion.
• Parent-initiated deletion: requests to delete a child's account are honored within 30 days.
• Billing and transaction records: retained for 7 years as required by Pennsylvania and federal tax law. These records contain payment amounts and dates but no student personal information beyond the account holder's email.
• Consent audit trail: a record of when consent was given, by whom, and from what IP address is retained for 3 years after the account is deleted. This exists solely to demonstrate COPPA compliance if audited.
• Aggregate anonymous statistics: retained indefinitely and cannot be linked back to any individual.

Third Parties We Use

Mathory uses a deliberately small set of service providers, each necessary to deliver the course. We do not sell, rent, or trade personal information with anyone.

• Stripe — payment processing. Stripe receives the parent's billing details to charge the subscription and issue receipts. Stripe never receives student personal information.
• Render — application hosting. Data is encrypted at rest and in transit.
• Google Fonts — typography delivery. Loaded from Google's CDN as a static resource; no user account information is shared.
• Resend — transactional email delivery (receipts, confirmations, deletion notices). Receives the parent's email address only.

What we do not use:

• No advertising networks, retargeting pixels, or behavioral advertising of any kind.
• No third-party analytics or session recording (no Google Analytics, Mixpanel, Hotjar, and so on).
• No data broker sales.
• No AI training on student data. If large-language-model vendors are used for internal tooling in the future, they will operate under written zero-retention agreements that prohibit training on our data.

Recording

Sessions are recorded only with your written consent, and recordings are for the student's personal study use only.

Communication

Between-session questions may be sent by email or SMS. Response within one business day. Weekly session summaries are sent after each session. Monthly progress reports for engagements longer than 4 weeks.

Governing Terms

These policies are summarized here for transparency. The binding service agreement is signed at the start of each engagement between you and Prism Path Digital LLC. A copy is available on request.

These policies and any related service agreement are governed by the laws of the Commonwealth of Pennsylvania, without regard to its conflict of law principles. Any legal action arising from these terms shall be brought in the state or federal courts located in Allegheny County, Pennsylvania.
